Electronic Document Management

Document Transmittal Solutions
Transmittals Manager provides a fully auditable process to control the electronic distribution of documents and drawings to and from external parties like supplier/sub-contractors.
Transmittals Manager makes use of role-based access feature of EMC Documentum xCP to give external parties a secure environment in which to receive and submit project documents and drawings. Third parties can download transmittal packages and submit documents through a web browser.
Documents and drawings are sent and received to named recipients via electronic packages. Each package includes an automatically generated transmittal coversheet providing transmittal number, instructions and document information.
Dynamic reports enable Document Controllers and Project Managers to track the status of Transmittals and project documents. This helps project teams to manage key milestones associated with the transfer and acceptance of documents and drawings.
Correspondence Solutions
Built on EMC Documentum platform correspondence solution comprises of document management system with built-in workflow to manage incoming and outgoing letters and other correspondences, these require tracking, registration and filing to the Electronic Document Management System.
Letters are used to communicate between Contractor and Company, and Contractor and Subcontractor regarding contractual matters. Correspondence system is used to officially issue or receive documents between Contractor, Company and Subcontractors. Both letters and transmittals shall be clearly identified with an individual code assigned in correspondence fashion Sources of correspondences from Contractor, Company, Sub Contractors and third parties are subject to being incoming and outgoing. Signed transmittals shall acknowledge the submission of all transmittals.
